Refund Policy

1. Overview

This policy explains the refund, cancellation, and rescheduling terms for training sessions, workshops, clinics, and coaching appointments booked with Reason Flowhub.

2. Deposits

A non-refundable deposit of £75 is required to secure your place on any workshop or clinic. This deposit is applied toward the total session fee. If you cancel within the refund window described below, the deposit may be credited toward a future session rather than refunded.

3. Workshop and clinic cancellations by you

• More than 14 days before the session: Full refund of any amount paid beyond the deposit, or transfer to a future date at no charge.
• 7 to 14 days before the session: 50% refund of the total fee paid, excluding the deposit.
• Less than 7 days before the session: No refund. You may transfer your place to another person at no charge by notifying us in writing.

4. Coaching session cancellations by you

• More than 48 hours before the appointment: Full refund or free rescheduling.
• 24 to 48 hours before the appointment: 50% refund or one free reschedule.
• Less than 24 hours before the appointment: No refund. The session is considered delivered.

5. Coaching blocks

Coaching blocks (four sessions) are non-refundable once the first session has taken place. If you cancel before the first session, a full refund is available minus any deposit paid. Unused sessions within a block may be rescheduled but not refunded individually.

6. No-shows

Failure to attend a booked session without prior notice is treated as a cancellation with less than 24 hours' notice. No refund will be issued and the session cannot be rescheduled.

7. Cancellations by Reason Flowhub

If we cancel a session due to instructor illness, insufficient enrolment, or other circumstances beyond your control, you will receive a full refund of all amounts paid or the option to transfer to the next available date.

8. Rescheduling

You may reschedule a workshop or clinic once at no charge if the request is made more than 14 days before the original date. Coaching sessions may be rescheduled once per session under the timeframes in section 4.

9. Non-refundable items

The following are non-refundable under all circumstances:

• Deposit amounts (£75) unless we cancel the session
• Printed materials already dispatched to you
• Sessions where coaching preparation work has begun (journal review completed before the appointment)

10. Refund process

Approved refunds are processed within 10 working days to the original payment method. If the original payment method is unavailable, we will arrange an alternative such as bank transfer.

11. Corporate bookings

Corporate group training contracts have cancellation terms specified in the individual engagement agreement. Where no specific terms are stated, the workshop cancellation terms above apply.
